This Project is a about Developing a Plan for Maintenance and use of Electronic Records in Makerere University Business School (MUBS). It is based on the current state of managing electronic records that needs to be addressed for proper Maintenance or records for future use. The primary purpose of the study is to evaluate the use of the electronic records in the University and how they can be well maintained to become the best reference for the University in the fast-growing and competitive technology world. Given the experience in African to be specific Ugandan, most times new innovations are embraced with a lot of excitement that can only last but for a moment, the ‘how’ to keep something in good condition and continuous use is a big challenge. Our concern is that people establish Electronic Records systems and they do not forecast the cost of Maintenance while it is in use, so the records start to have limitations and finally they are abandoned for paper records which is all a waste of resources. The objectives of the study are; 1) to identify the types of electronic records maintained and used at Makerere University Business School 2) to evaluate the current state of maintenance and use of electronic records at MUBS, 3) to identify challenges faced with the maintenance and use of electronic records for MUBS, and 4) to develop a plan for the use and maintenance of electronic records at MUBS. The users of the records contribute greatly to good maintenance as they access the records, we need to look at the queries, concerns and requests raised and how they are responded to. Technology advancement is a very expensive venture that requires determination and prioritization. This is where we want to call the attention of management of MUBS using our research for them to see the benefits of using electronic records and support it accordingly. Finally, since we are writing about Maintenance and use of Electronic Records in public Universities, taking a case study of MUBS, our investigation into challenges and recommendations would help the Management have a professional presentation that will draw attention for support or even grants to support Maintenance work.
