    Developing records safety and security procedures for national housing and Construction Company

    Abstract
    Absence of records security measures leads to improper access, accidental loss, theft, damage, and unwanted destruction. The practice of records safety and security started years back however implementing it as a professional practice totally became a serious mandate after companies realized the priceless benefits of establishing and following procedures. Like other organizations, companies generate a lot of records through their business activities therefore they need to be managed properly to ensure their safety and security. The major purpose of the study was the aim of the study is to assess records management practices at NHCC with the intention to develop procedures for the safety and security of records. The project was guided by different objectives including to find out the types of records generated and kept, to find out the records safety and security threats, to assess records management practices, to review the existing records safety and security procedures, to examine the requirements for the implementation of new records safety and security procedures and to develop records safety and security procedures for National Housing and Construction Company. This study adopted the case study approach and quantitative approach and the different data collection techniques were used that is the interview, observation and document analysis accompanied by their tools that is the interview guides, document analysis guide and observation guide. The major findings of the study revealed that the current status of safety and security of records at NHCC is unreliable. As a result, there is loss and misplacement of records as a result of undefined procedures for the proper management of the records. However the project developed procedures for the improvement of records safety and security. Furthermore recommendations were made to improve on records safety and security and these were Staff training, installation of CCTV cameras, implementation of a records management policy, among others. If the above are considered and catered for, National Housing and Construction Company will be better off in service delivery and in terms of records storage and safety.
