Management of procurement records at National Water and Sewerage Corporation Archive
Abstract
The aim of research was to assess management of procurement records at national water and sewerage corporation and the objectives of the study include; to also identify the different types of records kept to find out the importance of managing procurement records, to identify the problems faced when managing procurement records and to identify possible solution to the problems faced in managing procurement records.
The research design which was qualitative used during the course of the study and the research methods were interviews observation and data collection tools were interview guide and observation guide.
The study findings indicated that the types of records generated at national water and sewerage corporation are administrative records, legal records, active records, semi current records inactive records, procurement records
In relation to the study findings, the importance of managing procurement records indicated that records are used for financial value, administrative value, legal value, information value and for planning purposes
The study further indicates the problems faced in managing procurement records which include difficult to cope with the digital age, weak legislative and basic skills, absence of an archival institution and lack of storage space for records
The recommendations were made to improve the records management policies and procedures in the organization to automate procurement records, training staff, provision of adequate storage equipments, expanding the procurement archive and adequate funding.
