The study was carried out from Centenary Bank Records Center, Bweyogerere, Wakiso District with an ideology of developing a suitable record tracking tool. This research was basically at examining which records are kept or managed, how they are tracked, managed, challenges faced while tracking or managing while also proposing possible strategies and solutions for them. This helped in answering the research questions and meeting the four objectives of the study.
An interview guide as a tool and observation were used during the research process to obtain information from the staff which included the records officers and supervisor at the center. The study also analyzed that most of the records managed are in paper form and a manual tracking system is used which led to creation of a big task of retrieving and accessing the information required.
The study found that the retrieval process for Records at Centenary Bank, included manual account records tracking system where records that were collected and kept in files and these files stored in boxes for easy access and retrieval, boxes were stored in stored in shelves in a specific arrangement. The study concluded that Centenary Bank lacks a suitable tracking tool used for managing its records that is effective and efficient enough. A digital or electronic tracking tool was recommended. The study concluded that main challenges Records management system in Centenary Bank, which included limited storage facilities that were supposed to keep the ever-increasing records, in other words they had fixed storage space but the records where always increasing. Furthermore, the research identified the suggestions by respondents on how to improve Records tracking or management system in Centenary Bank.
The researcher also recommends the staff to try and understand all guidelines or instructions for improving access and retrieval of active data; this is because they are intended to help the Centenary Bank so maximum attention should be put to them. They should be studied, analyzed and understood in depth because their impact is positive. The researchers also designed and recommended a systemized record tracking tool for Centenary Bank Records Center to improve service efficiency.
