dc.description.abstractThe study focused on designing an electronic filing system of health records for St Stephens Hospital and procedures which helped to guide while filing records. it was based on the following objectives which were to; examine the current services offered at St Stephens Hospital central registry, establish the challenges faced with the current filing system at St Stephens Hospital central registry, examine the necessary requirements for designing an electronic filing system for St Stephens Hospital central registry and design an electronic filing system for St Stephens Hospital central registry to save time during information retrieval. A case study research design was used and a qualitative research approach adopted in the study. A sample size of 19 respondents was used consisting of both the medical staff and doctors while adopting a qualitative research approach in discussing findings. Medical staff included 4 and 80 students were involved. Data was collected using semi structured questionnaires, unstructured interviews and participant observation. And it was qualitatively analyzed and presented with the help of tables, bar graphs and pie charts. Major finding was that St Stephens Hospital does not have Electronic Filing System that…. Other findings were: information needs of the users were…..; services normally offered included:……; challenges faced were……. report the findings of your first objective here. it was revealed that books are the most issued out information materials therefore academic information is the main information need of St Stephens Hospital users. Therefore the services provided by the St Stephens Hospital like reference services, current awareness services as the study indicates. In addition, the study revealed that the St Stephens Hospital uses a manual filing system. A manual filing system can prove to be a challenge for both the St Stephens Hospital staff and the users associated with challenges like; Long lines, time consumption, it is tiresome difficult to maintain statistics with the manual system. From the findings above, it is concluded that a lot of time is wasted during the charge and discharge of information materials at St Stephens Hospital. The study therefore recommends St Stephens Hospital to adopt the proposed Electronic filing system to provide a centralized database of records and management of St Stephens Hospital records management activities. Major recommendation was that the management of the hospital should adopt the proposed electronic filing system because of its many benefits. Other recommendations are that: St Stephens Hospital management should endeavor to train hospital staff on how to operate the designed system so that they can meet the patients’ needs. In addition, more budget for the St Stephens Hospital should be increased for purchase of equipment like computers, scanners and above all the users should be sensitized about the system.en_US
