dc.description.abstractThe project’s purpose was to design and develop a records filing and retrieval system for Mpigi District Local Government. The project objectives were to: To find out the types of records that are kept at Mpigi District Local Government, to examine the current records filing and retrieval system used at Mpigi District Local Government, to establish the challenges associated with the current filing and retrieval system at Mpigi District Local Government, to determine the system requirements necessary to design a filing and retrieval system at Mpigi District Local Government, to find recommendations of the existing records filing and retrieval system at Mpigi District Local Government and finally to design and develop an information retrieval and filing system for the Mpigi District Local Government in order to facilitate proper records filing and retrieval. The study focused on a population of 120 respondents from which a sample size of 80 respondents were selected using a simple random sampling technique. The study adopted a qualitative research design in incorporation with the interview, questionnaire and observation methods to collect data from respondents. The study concluded that records filing and retrieval of active records is a very important aspect in records management and its highly recommended to all organizations to promote records management because no organization can exist without generating records. Records provide information which can be used by administrators, policy makers and types of staff members at Mpigi District Local Government and therefore they should be well classified, filed and secure from uncertainties. The study recommended that a records filing and retrieval should be designed to meet the user anticipations of the system, this should be followed by Training of Users and staff. The proposed records filing and retrieval should be capable of information storage, information access, information retrieval and support of other added functionalities that the users anticipate. A manual records filing and retrieval should be replaced with automated means of filing and retrieval to solve challenges in filing, access and retrieval, the new system should be in support of electronic filing, access and retrieval of Records as key requirements of a records filing and retrieval system, the new records filing and retrieval system should be implemented and that user training and education should be done to orient users on how to interact with the system.en_US
