Assessment of records filing and classification systems
Abstract
This study was carried out on assessing of Records filing and classification systems in
records department of Kasangati Health Centre IV with guidelines that will assist in
improving the Records filing and classification system.
The study used three data collection techniques of document analysis interview and
observation. The researcher collected data about the classification and filing of records at
Kasangati Health Centre IV and she purposively selected respondents from the registry these
included medical records officers, records manager and others.
The study established that Kasangati Health Centre IV generates a number of records which
range from administrative records, medical records, Fiscal records, legal records and
historical.
The study also stressed that Kasangati Health Centre IV faces a number of challenges that
affect the classification and filing of records and the common challenges to both practices
included, poor maintenance of registries, misfiling, misclassification, missorting, poor
handling of information materials, limited funds, limited equipment’s and inadequate
qualified staff.
The researcher concluded by establishing recommendations and strategies to overcome
challenges to the classification and filing of records which include employing qualified staff,
training existing staff, acquiring more equipment’s, increasing funds, proper sorting,
digitalization of records and creating staff awareness on the importance of records.
