Designing an electronic filing system for managing patients' records at Kira Health Center III Art Clinic

This research aimed at designing an electronic filing system for managing patient‘s records at Kira Health Center III Art Clinic as the case study. It was based on the following objectives: to identify the records managed at the Kira HC III Art Clinic, to find out the current filing system used in the management of patients Records in the art clinic, to find out the challenges associated with the filing system used and to design an electronic filing system for managing patients records in Kira HC III Art Clinic.
The researchers used a descriptive research design where a single department of the records section was chosen for the study. To gather information the researchers used both primary and secondary sources of information which composed of a maximum of twenty five (25) respondents. The primary sources were the interview guide and data analysis and the secondary
source were reviewing the related literature from different Articles, journals and books from different scholars. The results indicated the different types of records created and kept at Kira HC III Art clinic which included; ART registers, pre-Art registers, exposed infant charts, HIV exposed infant registers and TPT registers. However the respondents responded that the method of filing used is manual and that its associated challenges for example; takes up a lot of space, prone to damage and being misplaced, hard to make changes, access, time Lack of Security. Therefore there‘s a need to design an electronic filing to help in quick retrieval of patient files, time saving, confidentiality, error avoiding and training of records staff to effectively manage patient records was suggested.
