Assessing records storage and security at Kambuga Hospital
Abstract
The study was carried out on assessing records storage and security at Kambuga Hospital. The objectives of the study was to find out the current status of Records storage and security, how storage and security of records are managed, challenges of Records storage and security at Kambuga Hospital and make suggestions for the best practices in records storage and security. Data was collected from a sample population of five (05) using interviews and observation. This was analyzed qualitatively. The major findings of the study revealed that Kambuga Hospital used the manual records management system. Most of the records were passed on by hand and information was kept in hardcopy in paper files, stored shelves, cabinets and boxes. The challenges in records storage and security included inadequate storage space, inadequate trained staff, inadequate storage equipment, biological agents, mishandling and abuse of records, use of insecure locks, lack of proper records management plan, misplacement of case files, improper disposal of records among others. The study recommended setting up policies on records management, Staff training and awareness programs, access controls, installing security monitoring systems, digitizing records and fumigating the storage area among others. It was also recommended that records storage and security be improved by implementing a records management policy, designing a disaster management plan, installing security software and installing CCTV cameras.
