Assessment of the management of procurement records at Kabarole District Local Government
Abstract
The purpose of the study was assessing the management of procurement records at Kabarole District Local Government in order to propose a proper management of procurement records. This study was carried out from the Kabarole District Local Government. The study population was comprised of male and female stuff of the Kabarole District Local Government. A sample of 10 respondents was selected using simple random sampling because this method of sampling gives equal chance to every respondent to be selected. Two methods of data collection employed in this study, both the primary and the secondary data collection methods. Primary data was data collected for the first time from respondents familiar with the study and instruments to be used include interviews and observations method. The researcher prepared the interview guide questions in connection to research questions. The technique was used because, sample is controlled more effectively, more information and that too in greater depth can be obtained, also the technique associated with greater flexibility, therefore the researcher has the opportunity to restructure questions so as to reach the research objectives. Interview helps to get reliable and valid information relevant to the research. The data was collected and analyzed using qualitative data analysis methods. Descriptive analysis was used in presenting the finding/results of the study.
The study results revealed that; one of the most common type of procurement records that is founds that are managed is the request for information records. Furthermore, request for proposal records are those that solicit for proposals, often made through a bidding process, by and agency or company interested in procurement of a commodity, service, or valuable assets, to potential suppliers to submit business proposals. According to the study findings, the main importance of storage practices is Quick decision making leads to the benefit of proper procurement records management. According to the study results, the most common challenge faced is limited stationary. Soil particles do attack paper records which make them loose their color and material form which further makes the weak. Viruses are major challenges to procurement management especially for the electronically stored records. According to the study results, most of the respondents suggest that there should be regular trainings of staff members.
