Management of motor vehicle records in Uganda Revenue Authority

Abstract

The study focused on Management of motor vehicle records in Uganda Revenue Authority. Overall the study aimed at management of motor vehicle records and more specially; the objectives were; to identify the types of motor vehicle records created and received by Uganda Revenue Authority, to identify the uses of motor vehicle records of Uganda Revenue Authority, to find out the filing systems used when managing motor vehicle records, to identify challenges faced when managing motor vehicle records and recommend possible measures to address to these challenges for improvement of motor vehicle records management in Uganda Revenue Authority. The researcher reviewed the existing literature related to the topic and primary data was also collected to answer the study objectives. Questionnaires, observation, interview and document content analysis were very paramount data collection methods used in the study to achieve the research objectives. Data was captured into the computer using excel processor and then imported into a Scientific Package for Social scientific (SPSS) to provide logical frequencies and associations. The study unveiled the different types of motor vehicle records created and received by Uganda Revenue Authority including financial records, administrative records, legal records, personnel records and research records. The findings of the study indicated that motor vehicle records are filed using alphanumeric, alphabetical and geographical filing methods. They are mainly stored in filing cabinets, boxes, open shelves and in computer databases. In some instances, when they have excess motor vehicle records, they store them in gunny bags. The findings of the study further established that there is poor management of filing and storage activities in the registry. The study concludes that URA has put in place some of records management policies in different Departments, although there are some loopholes calling for administration’s attention and also the loss of records has been ironed out in the recommendation.
