| dc.description.abstract | The practice of records storage and security started thousand years ago however implementing it as a professional practice totally became a serious professional practice after companies realized the priceless benefits of establishing the system. Like other organization, the school generates a lot of records through its business activities therefore they need to be stored properly for easy and quick retrieval in time of need. The major purpose of the study was to Assess Records storage and security at Standard High School, Zzana with an intention of proposing good records storage and security practices in the school.
The assess of various categories of active records kept at storage and security of records is managed at Standard High School, Zzana, examine the storage and security of records are managed at Standard High School, Zzana, determine the challenges faced in the storage of active records at the storage and security of records is managed at Standard High School, Zzana, establish and recommend strategies and possible solutions for improvement of the records Storage and security of records are managed at Standard High School, Zzana. Different data collection techniques were used that is the interview, observation and document analysis accompanied by their tools that is the interview guides, document analysis guide and observation guide.
The major findings of the study revealed that Standard High School, Zzana used majorly the manual records management system where most of the records were passed on hand to hand and information was kept in hardcopy paper files stored ordinarily in wooden shelves, cabinets, boxes, trays ,sorters and drawers, the school also had some few electronic records which were generated at the school due to the electronic records management system which was currently introduced which included word processed documents like the reports, admission forms and databases like the nominal roll and staff pay roll. It was further revealed that school possessed several challenges in records storage and security which included inadequate storage space, inadequate trained staff, poor and inadequate storage equipment, biological agents, mishandling and abuse of records, computer malware and use of insecure locks, lack of records management plan, misplacement of case files, improper disposal of records among others.
However suggestions were made for best practices in records storage and security which included, setting up policies on records management, Staff training and awareness programs, access controls, use of identification systems, installation of security monitoring systems, digitization, and fumigation among others. Furthermore recommendations were made to improve on records storage and security and these were construction of standard records storage areas, implementation of a records management policy, designing a disaster management plan, installation of security software, installation of CCTV cameras and staff training. Basing on the findings of the study conclusion was made that records storage and security at Standard High School, Zzana was still very weak which needed great funding in terms of skilled personnel, ,modern storage and security equipment, increased storage space and management policies. If the above are considered and catered for, Standard High School, Zzana will be better off in service delivery and in terms of records storage and safety. | en_US |
