The purpose of the project was to design an Online Students’ Clearance System (OSCS) for Kyambogo University. The objectives of the study were to; identify methods of clearance of the graduating students, identify the requirements for clearance of students, establish challenges faced by students while clearing, to come up with recommendations for improving the clearance system and design an Online Students’ Clearance System for Kyambogo University.
The researchers applied a case study research design while adopting both qualitative and quantitative research approaches. Interviews, questionnaires and observation were used to collect the data from the 50 students and 10 clearance officers at Kyambogo University who were conveniently and purposively selected respectively.
The study established that there was a need for all the students to clear with the Kyambogo University before graduation. Currently final year students clear with the University units by use of manual forms obtained from secretarial shops or download them from the Kyambogo University website and thereafter printed.
The study also revealed that the requirements for clearance of students at Kyambogo University were full payment of the tuition, good record with the dean, games tutor, librarian, hall wardens and must have passed all the examinations while at the University.
The challenges faced by students while clearing at Kyambogo University were long queues at the reception in the morning when the students are clearing, time wastage, inadequate staff and collision whereby two or more students come for clearance at the same time in the office.
The challenges above justified a need for a user friendly reliable, effective, efficient and transparent Online Students’ Clearance System. This system enables final year students monitor the progress / status of their clearance forms online as long as the technologies they are using can access the internet.
Based on the findings above, the study concluded that there was need to develop an Online Clearance System for Kyambogo University. The major recommendation was to implement Online Clearance System. The other recommendations were; developing a clearance policy, purchase of more computers, employing skilled personnel to run the system and adopting
