ItemAssessing academic records management practices at Uganda Institute of Information and Communications Technology(Makerere University, 2019-07) Odyek, LawrenceThe study assessed the management of academic records practices; a case of Uganda Institute of Information and Communications Technology, UICT. It was guided by the objectives such as to; identify the types of academic records, establish the skill level of records management staff, examine the current academic records management practices, identify the challenges faced in the management of the academic records and propose the solutions for strengthening the academic records management practices at UICT. Both qualitative and quantitative approaches were applied where necessary in data collection, presentation and analysis. The qualitative data were also converted into figures and presented inform of pie-chart, however some findings were analyzed quantitatively. The researcher was assisted by use of data collection instruments in which the respondents answered questions basing on interview guide. Document review guide and observation guides were also used. The sampling method used was purposive sampling because respondents were selected on the basis of their relevance on the research questions. A sample size of 28 participants were determined by Krejcie, R, V and Morgan technique from a population of 30 staff. The categories of respondents were the administrative staff, records staff and records management related teaching staff at UICT. The study revealed that the higher percentage of respondents were familiar with the topic under study and the academic records was predominantly based on paper and partly (digital) electronic media: the study revealed that 80% of records were paper based and were kept in the records storage equipment such as storage boxes, box files, open metallic shelves, cupboard and filing cabinets. ItemDeveloping a preservation policy and guidelines for academic records at St. Margaret College(Makerere University, 2023-09) Nakimera, Mildred ; Kizito, Mathias ; Nabaasa, AlisonThe study aimed at developing a library preservation policy for St. Margrets College, Makerere. The objectives of the study were to; find out the various types of academic records preserved, assess the factors or enemies of academic records, investigate the existing academic records preservation methods, assess the current preservation policy guidelines, examine the requirements for implementing the preservation policy and guidelines for academic records and develop a preservation policy and guidelines for academic records at St. Margrets College, Makerere. A case study research design was used in the study while adopting a qualitative research approach of research in data collection; some aspects of quantitative research approach were used in data analysis and presentation. A sample size of 8 respondents were involved and these include the school bursar, school librarian, class teachers, secretary, director of studies and the Head Teacher were purposively selected to participate in the study. Interview, observation and document analysis methods of data collection were used in the study. The study established the various types of academic records amanaged at SMC, Makerere and these were; report cards, admission registers, attendance registers, syllabus/curriculum, teachers’ record of work, punishment book, continuous assessment book, ministry of education and sports records, UNEB records, examination records, admission forms, disciplinary records. Majority of these records were paper based records though electronic records also existed. The findings also shows that the academic records are faced with a number of threats which can lead to deterioration of academic records which include; pests and other living organisms, dust and dirty, mishandling by the users, fire and water, high temperatures and humidity, poor quality of materials among others. The research revealed that St. Margaret College, Makerere manages a variety of academic records availed to both the students and teachers. The findings also show that the school uses different preservation techniques to protect the academic records from deteriorating at a very high rate. These techniques include; cleaning of shelves and the academic records on a daily basis, digitalisation of some records, covering windows, use of rat gum to trap pests, coating of shelves with acid free paint and so on. Staff at St. Margrets College, Makerere encountered different challenges in preservation of academic records. These challenges limit them from proper preservation of academic records and these include; inadequate space for materials, inadequate finance, limited equipments and many others. Preservation of academic records at St. Margaret College, Makerere is carried out right from the time of receiving the academic records, processing, shelving and dissemination of the materials in the school. The project established that this was not effective and requires guidelines to improve on the preservation of academic records. The study concluded that developing the preservation policy and guidelines for St. Margaret College, Makerere would help the staff preserve the academic records in the school. The recommendations for the study were; maximum care of academic records, formulating a preservation committee, training of the library staff, ensuring availability of funds for preservation of academic records, using acid free boxes and follow up on the use of materials.

ItemExamining the preservation and conservation of students Academic Records: Case study Shimoni Teacher's College(Makerere University, 2017-10) Nakyambadde, FlaviaThe purpose of this search project was to examine the preservation and conservation of student academic records at shimoni teachers college and the major objectives or study were to identify the current status of the students records kept at shimoni teachers college, assess how the student academic records are managed, identify the challenge of preservation and conservation and suggestions to the best practice. The methodology of study used was qualitative research design. A sample of 37 students and staff was used to complete the research. There was the use of the different research tools like questionnaire guide which was used mainly to collect data and observation The data collection method used was interview, observation and questionnaires. Data was analyzed and present according to each objective as seen above. The study revealed that shimoni teachers had no disposition policy, a disaster plan and conservation and preservation policy was also not in place. It was observed that all students’ academic records were being preserved a conserved in offices where are filed in box file and put on the shelves within the office. And the recommendations to the college were to set up a record office for students’ academic records, design a policy for the record preservation and conservation, and design a disposal policy to be used as a guide for preservation and conservation of records of the college Therefore from the study, it realized that shemoni teachers college needed to allocate more resources and standards to improve on the preservation and conservation of the students records There should also be more concern added in preserving and conserving the students records since majority of the records created are students records like transcripts, examination results and admission letters and there should be digitization that should be applied in the preservation and conservation of the student records hence protecting the authenticity and confidentiality of the student records
