The study concluded that access and retrieval of records in Excel Insurance Company is done either manually or electronically depending on the form it is stored in. Information retrieval selects documents from a collection according to the [presence or absence of keywords assigned by an indexer. An extension of this approach allows automatic synthesis or summarization of records in the system. When the records are well stored using proper indexing system, safe storage cabins and computer system, then access and retrieval becomes easier using manual or electronic retrieval systems such as information Visualization project at Xerox PARC, and the piles interface at Apple, quick book, LINUX, Access, and Excel among others. The study recommended that records staff to be trained further in specialized management such as Visual Basics, Quick Book, Access, and Linux, Xerox PARC and Piles Interface to facilitate the use of automated computerized records access and retrieval system.
